Create/edit GDPR deletion rule for Recruitment

In this article you can read about how you create or edit your GDPR deletion rules. These rules are used to keep complaint with e.g. the personal date regulation, as well as being able to automate a clean-up of old date, as the data from the solution.

Create/edit GDPR deletion rule for Recruitment 

1. Go to "Settings" in the main menu and click on "GDPR"

2. Click "New rule" to create a new or...

3. Enter a title

4. Choose when to delete data and the action that triggers this

Emply_2020-04-27_11-09-52.png It is also possible to base the deletion rule on criteria, so you have different rules for an active job and a talent pool. Choose between standart criteria as well as elements from forms.

 

5. Add messages

Add reminder messages if e.g. the candidate should have the opportunity to extend his profile and therefor must be reminded of the deletion 30 days before.Emply_2020-04-27_11-29-00.png Note, you can also use specific message templates for this. 6. Click "Save" and activate the rule
In the pop-up window, you can see the immediate consequences and the e-mails that will be sent out.
The deletion rule is now activated and will remove data after the specified period.

FAQ

What does it look like once the rule has been set up and how can I tell that it is working?

In the GDPR menu, you can tell that a rule is active by the green Activated slider. 
Moreover, you can see the amount of candidates currently deleted per rule (along with the reach).

In the example below, you can see that 10 candidates were deleted as a result of the rule:

What does it look like when the rule has deleted a candidate?

You can see the number of deleted candidates per rule by looking at the red number.

Moreover, you can see a list of deleted data on the right side of the screen under Deleted data. In this section, you can filter the data based on a rule by either clicking on the Filter button or by clicking on the red number on a rule:
