Create/edit onboarding template

In this article you can read how to create or edit templates for the Onboarding module. It could, for example be templates for Pre-, On or Offboarding.

  1. From the main menu, go to Settings and click Templates.

  2. Go to the Onboarding tab.

The setup of Onboarding is flexible and can therefore be adapted to the needs and desires of all companies. An onboarding template consists of one area, one or more pipelines and one or more processes.

Create and edit onboarding area

  1. Click New onboarding area to create a new area / tab under Onboarding or select and Edit to correct the title of an existing area.

  2. Enter a title and optionally a brief description.

  3. By selecting or deselecting Candidate and Employee where it should be possible to start a new process from within this area.

  4. If you want to limit access to the area, add the relevant role(s). For each role set the access needed.

    • Emply_access_all_icon.png allows access to all data

    • Emply_access_custom_icon.png allows a custom access

    • Emply_access_own_icon.png allows access to the users own data

    • Emply_access_delete_icon.png remove access to the area for the role

  5. Click Save to create the area (if new) or save the changes (if edited).

Create and edit onboarding pipeline

  1. Click on Create new onboarding pipeline or select an existing pipeline.

  2. Fill in the pipeline information.

    Languages: Choose whether the pipeline should be available in one or multiple languages

    Title: Enter the title of the pipeline

    Pipeline: Create the pipeline stages and click Add stage to add the various steps that this pipeline should contain. We recommend to add some general categories/steps that employees have to go through - for example a preboarding process.

    Tip

    You can change the order of stages by dragging and dropping the boxes.

    You can change the title of the stage by pointing to it and click on the pencil icon.

    Access: Control the access to the pipeline by adding the relevant roles.

  3. Click Save to store the pipeline.

Create and edit onboarding process

  1. Click on Create new onboarding process or select an existing process.

  2. Choose language and enter title, as well as an access if not everyone should be able to choose this process.

  3. Click Save.

  4. Click Add action from the step you want to add an action to.

  5. Select the type of action you want to add.

    Task

    • Can be assigned to one user.

    • The user receives an email with a link to the task and must mark the task as completed in Emply People.

    • Can be used if a subsequent action is dependent on the task being completed.

    • A task description cannot contain merge fields.

    Message

    • An email that is sent out.

    • Can be sent internally (user) and externally (non-user).

    • Attachments (e.g. employee handbook), hyperlinks and images can be inserted.

    • Emply People merge fields can be used to distribute data from Emply People to the right person. (E.g. info for payroll or IT in connection with a new hire).

    Form

    • Email containing a link to a form.

    • Can be sent for completion internally (user) and externally (non-user).

    • A form is used to collect data for Emply People.

    • The email must contain the merge field [form.link] to generate a unique link to the form.

    • A form can be used to advantage if a subsequent action is dependent on the form being filled out.

    Notification

    • Short message received in the system

    • Define the recipient

    Feedback

    • To be completed by the recipient (user, employee)

    • Choose specific feedback form

    • Define recipient and sender

  6. When you have added all the relevant actions in the process, you can add another process to be started, when the current process is finalized.

    1. Once you have chosen an onboarding area, which is mandatory, you can choose a pipeline and the team members you wish to be involved in the new process.

Your area, pipeline and process are now set up and ready to use!
