Job architecture for pay transparency

Pay transparency is a new features coming to Emply People Q4 2026. But already now, you can prepare your company job architecture, so that it is ready for import, when the new feature is released.

A job architecture is a structure that organises jobs across your company according to the value they create. It establishes a clear and consistent framework for roles, responsibilities and levels across the organisation.

Using our Excel template, you can define your job families, job levels and job roles before the new functionality is released. Once available, you'll be able to import the file directly into Emply People, giving you a head start on preparing for pay transparency.

Important

If you're already using Job Profiles in Emply People, you're one step ahead, and you should not use the Excel template. When the new functionality is released, you'll simply need to create your job families and job levels, then connect your existing job profiles to the appropriate family and level.

When the pay transparency feature is released in Q4 2026, you will be able to import your job architecture from the template into Emply People. Please note that you will only be able to import the template once.

After import, the final step is to map your employees to the relevant job roles. This ensures your organization is ready to use the new functionality.

Fill in the job architecture template

The job archtecture template has three tabs:

  • Job Level

  • Job Family

  • Job Role

In each tab, some columns are mandatory and marked with *. Others are optional and not marked.

  1. Fill in the Job Level tab.

    1. Fill in all your Job level titles* and make sure that they are unique.

      Important

      A job level title can only have one currency and one minimum/maximum salary range, so you may need to create two rows to differentiate the level for two different countries.

      If you have Level 2 jobs in both Denmark, Germany and Italy, and the employees are paid in DKK and EUR and with different ranges for minimum/maximum salary, you can differentiate by creating three rows with the following titles:

      • Level 2 - DK

      • Level 2 - DE

      • Level 2 - IT

      This allows you to indicate different currencies, and also different salary ranges for Germany and Italy that both user Euro.

    2. Optionally, fill a Description of each Job level title.

    3. Fill in the currency relevant to the Job level title. If you have employees paid in different currencies at the same level, you will need to create a row for each currency, see example in step 1.a.

      Note

      We highly recommend that you use the ISO 4217 standard for currencies

    4. Fill in the Minimum salary* and Maximum salary* for the job level and salary. If the minimum and maximum salaries differ for employees in different countries, but is in the same currency, e.g. EUR, you will need to create multiple rows to reflect this, similar to the example in step 1.a.

    5. Optionally, fill in the Level Category, e.g. to differentiate between different Job level titles at the same level.

      Tip

      Once the template is imported into Emply People, you will be able to sort your Job level titles on Level category, so that you see e.g. all Job levels in Germany together.

  2. Fill in the Job Family tab. This tab contains only your list of Job Family Titles*.

    A Job family is a predefined structure that ensures consistency across industries and provides a strong foundation for classification.

  3. Fill in the Job Role tab. 

    1. Fill in your Job role titles*

      Tip

      You can use the same Job role title multiple times, assuming that either the Job family or Job level is different.

      The job title Developer can be availble for both Level 1 and Level 2. Or you job title Project manager may be available for both the Job family IT and Marketing.

    2. Optionally, fill in the Discriptions of your Job roles.

    3. Fill in your Job family* for each job role. 

      Important

      Please make sure that all job families mentioned here are included in the Job Family tab.

    4. Fill in the relevant Job level* for each job role.

      Please make sure that all job levels mentioned here are included in the Job Level tab.

    5. Optionally, fill in the Career track title of your job roles. You can define e.g. your company's Individual contributers, managers, etc. as separate paths.

    Once your job archtecture is complete in the template, it is ready to be importeed into Emply People when the pay transparency feature is released in Q4 2026.

    Warning

    You will only be able to import the template one time, so please make sure to finalize your job architecture, before you import it into Emply People. If you need to make changes after import, these changes must be done directly in Emply People.
