Permissions on a form

Do you want to define specific roles permission on a form - in order for not every user to see and edit all elements on the form? For example, the Master Data form in order to limit the editing options for certain user roles.

Here you can learn how to define role permissions on forms.

Permissions on a form 

1. Go to "Settings" in the main menu and click on "Forms"

2. Open/edit a form

 

3. Click on "Settings"

4. Unfold  "Access"

5. Click "Add role"

6. Define which roles should have access to the form

Employee: On this form, employees are only given the opportunity to see their own data.

Manager: For this form, the manager has access to see everyone's information.

Another example might be that the manager should only have access to view master data information on employees they are managers for. 

6.1. Click "custom"

6.2. Choose "Predefined user" = "Manager"

7. Define which access' to grant this group

You can determine if the group only should be able to see and not edit some of the elements, by choosing "Read only"

If the role is to both see and edit then choose "Create and edit" and then define on every single element:

  • default.png Default:  The user can edit and see element
  • mceclip6.png Mandatory: The element will be mandatory for users to fill in
  • mceclip7.png Optional: The element will be optional for users to fill in
  • mceclip8.png Read only: It will not be possible for the user to edit the element only to see it.
  • mceclip9.png Hide: The element is hidden for the user.


8. Click "Save changes" to save the user permission

The group is created and you can add further user permissions on the form.
