User scenarios with Paychex Europe Integration Platform (PEIP)

Below you will find recommendations for your daily work in Emply People when connected to Lessor Payroll and/or Lessor Workforce through Paychex Europe Integration Platform (PEIP).

Important

We recommend that that HR reviews the scenarios with your payrolls staff, so that requirements and expectations are aligned.

Employee gets new terms of agreement on existing employment

When the changes are limited to the items listed below, you can create a new agreement on the existing employment:

  • Changes to weekly working hours

  • Changes to payment rate

  • Changes to department

  • Changes to dimension code

  • Certain changes to job profile code

Employee needs new employment

When the changes are as one or more items listed below, you can create a new employment:

  • Employed in another company

  • In certain cases when job profile code is changed to impact union agreement code, area of negotiation and salary class code

  • The employee changes payroll group

  • When the employee is re-hired

Delete an employee in Emply People

When an employee is deleted in Emply People, please be mindful of the following:

  • The employee will need to manually deleted from Lessor Payroll and/or Lessor Workforce. Deletion is not automated with PEIP.

    Note

    Employees who have received unpaid wages in LessorSalary should not be deleted.

See if an employee has been connected through PEIP

  • If an employee is connected or previously has been connected to PEIP, you will see a PEIP-ID on the master or employment data.

  • You can add the PEIP-IDs shared ID and employment ID in the list of employees or by searching for the employee.

An employee has resigned, and you remove the resignation date in Emply People

  1. Remove the cause of resignation data.

  2. Remove the date of resignation data and click Save.

Both cause and date of resignation will be removed in Lessor Payroll and/or Lessor Workforce when connected through PEIP. this requires approval in Lessor Payroll.

Re-hire an employee previously connected through PEIP

Prerequisite: The employee is archived or pending with a resignation date and has a PEIP-ID due to previously having been exchanged through PEIP.

  1. Create a new primary employment for the employee.

    The employee will be sent through PEIP.

  2. Approve the employee in Lessor Payroll under New employees

A new salary code is generated and sent back to the receiving system(s).

Re-hire an employee previously not connected through PEIP

  1. Open the archived employee.

    Note

    The employee must have a termination date.

  2. From the menu in the top right corner, click Rehire.

  3. Select the form you want to use to rehire the employee.

A copy of the employee is now created, assigned UUIDs, and sent to PEIP.

This employee profile will be used going forward.

Ensure that name and address is up to date in other products in Denmark

Lessor Payroll will receive automatic updates to name and adress information from CPR on the 15th of every month. This information will automatically be passed on to Emply People and/or Lessor Workforce. When connected through PEIP, you do not need to take manual action.

Important

No information will be passed through PEIP if there are no new information in CPR. So, if the information for other reasons differ between the systems, PEIP will not align the data, until there are changes in CPR.
