General functionality in Paychex Europe Integration Platform (PEIP)

PEIP client ID

The PEIP client ID is your unique identification number as a PEIP customer.

The number is used to ensure correct exchange of information between our systems. In Emply People will find your PEIP client ID by going to Settings+Account in the Info/billing tab look under General information. You cannot changes this number.

PEIP system start date

PEIP system start date indicates the date of the first allowed transfer of information to and from Paychex Europe systems through PEIP.

The date is set Lessor Payroll to be the first of the month, when this is connected to PEIP.

If data is received with a "from" date prior to the PEIP system start date, this will be handled in the following way:

  • If there is an open payroll with the same payroll group as the employee, the start date for the salary period will be used.

  • If there is no open payroll, the PEIP system start date will be used.

Omit employee from PEIP data exchange

If an employee it not to be transferred from Emply People to Lessor Payroll, this must be set up by a consultant in Lessor Payroll.

You can choose to omit an employee based on:

  • Payroll group (Settling group code in Lessor Payroll)

  • Job profile code

  • Or a combination of the two above.

Use Emply People departments

If this option is checked, the department structure in Emply People will be sent to connected systems through PEIP. In this case the field Emply People departements will be visible in the payroll system e.g. on the master data, when creating employees and during approval of employees and changes on employees.

When Emply People departments is active, the field department code on the employee master data is read only. Any changes to the employee department must be made in the field Emply People department.

Note

This does not affect the way department code work in Lessor Payroll.

Create and update departments

If you create a new department in Emply People with name and CostcenterID, the department will:

  • the department will automatically be created in Lessor Payroll accordingly with department code.

  • if Lessor Workforce is connected through PEIP, the department will not be created automatically. You will need to create it manually - see the steps below.

  1. Create department in Emply People with cost center ID.

  2. Create the group or dept in Workforce.

  3. Set the mapping for department code or group code to be the cost center ID.

  4. In Lessor Payroll, add description of new department.

    This will send the mapping from Lessor Payroll to Workforce.

  5. Now you can add department to the employee.

If you change the name or CostcenterID of the field "Emply People afdelinger", Lessor Payroll will only be updated through PEIP, if the department was created from Emply People. If not, you will need to make the relevant changes manually in Lessor Payroll.

Changes to department information in Lessor Workforce will always need to be done manually.

Use automatic approval of absence in Lessor Payroll

When the option Use automatic approval of absence PEIP in Lessor Payroll is enabled, absence registrations for the individual employee will automatically be included in the payroll. If the option is disabled, absence registrations will be placed in Enter absence. From here they can manually be transferred to the employees absence registrations.

Note

This option can be enabled and disabled at any time.

PEIP fields with options

Fields that are mapped with options in Emply People has been created when first connected to PEIP. It is the description in Lessor Payroll that will be visible as the options.

  • Company code

  • Organisation code

  • Job profile code

  • Dimension 1-8 code

  • Administration code

  • Section code

  • Resignation reason

Important

It is not possible to create additional options in Emply People.

Example 1. You want to add options to the existing dimensions

  1. Create the relevant codes in Lessor Payroll

  2. The code/options will automatically be added to the element in Emply People through PEIP.


Example 2. You want to remove options to the existing dimensions

  1. Remove the option in Emply People.

  2. Remove the code from the dimension in Lessor Payroll.

    Important

    If you set the code to be inactive, it will not remove the option in Emply People.


Example 3. You want to add a new cause of resignation

  1. Add the cause of resignation as an option in Lessor Payroll

    This will automatically create the cause of resignation in Emply People through PEIP.

  2. Add the cause of resignation to the relevant payroll groups.
