Introduction to certificates

In Emply People certificates can be assigned through existing templates, or uploaded through an external course.

A certificate template will typically include a certificate name, the name of the person achieving the award, signatures, date of completion, and potentially an effective and expiration date.

Certificates are part of the learning module can be found through the main menu and then clicking on Employees+Certificates . From here you can see which certificates that have been given, as well as archive them.

If the certificate belongs to an employee profile, the setting is active in the template, or if the certificate is uploaded through an external course.

  • Certificate (The name of the certificate)

  • Employee (The employee that has achieved the certificate)

  • Effective date (The date the certificate is valid from)

  • Expiration date (When the certificate expires)

  • Renewal (When a certificate should be updated)

  • Created (Which date the certificate was given)

Attaching certificates to Learning courses

Certificates are a part of the Learning module, therefore, in order to assign a certificate to an employee, you need to assign either an internal or external course.

When you create/edit a course in your Emply People Learning module; e.g., an online course, you have the opportunity to attach a certificate which will be rewarded once a course is completed by clicking on the specific course and then Settings+Certificate.

When creating the certificate in Emply People, you have the opportunity to send an email with a certificate attached to it. In that way, when someone has completed a specific course, the system will make sure to send the certificate by email.

You enable this setting by going to Settings+Learning+Certificates and either selecting an existing certificate or creating a new one. From here you enable the: Send email with certificate attached button.

If the course is external instead, you will be able to either upload a certificate from your computer, or choose one from the templates you have available in Settings.

Create/edit learning certificate template

Create or edit templates for your Learning course certificates that can be obtained after completion of a course. These certificates can be used to document that specific employees are certified within i.e. GDPR regulations or just to keep your employees engaged.

  1. Go to Settings+Learning+Certificates.

  2. Click New certificate to create or click on an existing template to edit this.

  3. Creating a certificate will provide several choices as listed below:

    • Add the needed language versions of the certificate and write a name for the template in Title.

    • Upload your word document: The template directly in word with the design that you wish to use. In this file, you can use keywords so this data is automatically filled when the certificate is obtained.

    • Choose between the following settings: Save certificate as PDF, Save certificate on the Certificate tab / In profile, and/or Renew certificate every X Months.

      • Save certificate as PDF: Enable this if the certificate should be exported as PDF instead of word.

      • Save certificate on the Certificate tab / In Profile: When enabling this, the certificate will be saved on the Certificate tab under Employees, for employee profiles. For Onboarding profiles, the certificate will be saved under the profile's document tab.

      • Renew certificate every [] Months: Enable this if the certificate should expire and therefore be renewed within specified interval.

      • Bell icon: When enabling this, it will give a notification to renew the certificate to the assignee.

  4. Activate Email upon completion and Send email with certificate attached if you want the participant or another relevant receiver to receive an email with or without the certificate attached after completion of the course.

    Note

    In the message you can use keywords so this data is automatically filled when the message is sent after completion of the course. To find the keywords, click the [ ] icon button. From the overview, press the green + icon at a given keyword and it will be inserted directly in the message section.

  5. Click Save so your choices will be remembered.

Your template is now ready to use!

Important

Remember to add access on the certificate template so all relevant users can choose this certificate on the course settings.

You can find an overview of active certificates under Employees+Certificates

You can use the Filter button to search for specific certificates if you need to find unique competencies for a specific task. Filter by Effective date, Expiration date, Department, and Employee to find even more suitable people having the certificate you are looking for.
