How to import external courses

This article serves as a comprehensive guide to assist you in the process of importing external courses into Emply.

The Learning Section is a great tool in effectively managing learning materials. Within Emply diverse courses can be crafted and disseminated among employees, ensuring their continuous alignment with crucial information and fostering self-development.

Emply is a flexible system for the meticulous management of learning materials and educational content. The Learning Section provides an insightful overview of completed courses and other associated data inputs as costs.

In instances where your organization engages with external third-party learning providers, or perhaps multiple providers, Emply affords the flexibility to consolidate learning management information within the Learning Section.

Upon successful import of one or more courses, the stored information can be accessed through the Participants view within the Learning section.

Manually upload external course

1. Access Learning in the menu. From here click on the import button

2. Click on Manual course and select Upload excel. From here you can select the excel-file you want to upload.

To facilitate a successful upload, it is imperative to ensure that the Excel file contains specific elements.

By downloading the provided Get example file, you will receive a template encompassing all potential information that Emply can store. While not mandatory to fill in every field, it is essential to input, at a minimum, these fields to meet the specified requirements:

  1. E-mail (This is a reference to the employee profile > Use the work e-mail).
  2. Title (Course name)
  3. Language (Write the language keys format e.g., da-DK, en-GB)
  4. From date (This is the start date of the validity period)
  5. To date (This is the end date of the validity period)

Once the requisite fields have been completed, you may proceed to upload the Excel 
file by selecting the Upload Excel button and subsequently initiating the import process.

When completed, all imported information can be accessed within the Participants view.

File example

Below you see an example of the excel file. Other than the mandatory fields, we have also filled in 
"File title", which must be done when uploading a file with the external course. In this example we want to
add a certificate with the external course. You must write the name of the file including the format of the file,
which in this example is "certificate.pdf". Other than that the file title needs to be unique.

The file title for word documents must end with ".docx" and excel files ".xlsx".
