Plan event

This article describes how to invite an employee to an event in Emply.

  1. Select Employees from the main menu.

  2. Select the employees you want to invite and click Schedule.

  3. Fill in the form. Mandatory fields are marked with *.

    Title: Write the topic name for the event. This will appear in the internal Emply calendar.

    Participants: The current user will be chosen by default, but others can be added. The employees or candidates selected previously should not be selected again.

    Duration: This will block the calendar for the selected duration.

    Note: Add any internal information for participants. This field is not visible to the employees or candidates that will receive the event invitation. Only the people in the Participants field will be able to see this information.

    Feedback: If you have the feedback module, this will allow participants to give feedback. This field is not visible to the employees or candidates that will receive the event invitation. Only the people in the Participants field will be able to see this information.

    Remove unused time slots when all have accepted: When enabling this, any unused time slots will be removed when everyone has selected a slot. This ensures that participants' calendar will not be unnecessarily blocked.

  4. Click Find time to select the time slots you want to make available to the invited employees or candidates.

  5. Point to a time slot in the calendar and click the + to add a time slot. Point to another time slot and click + again to add time slots. Finish by clicking Schedule [x] time slots to finish when all the needed time slots have been added. You must add as many time slots as there are employees or candidates receiving the invite.

  6. For each time slot, expand it and add (and optionally edit) the details.

    Tip

    If you have an AD integration configured, you will be able to add meeting rooms. Otherwise, leave it blank.

    Important

    You can manually assign a time slot to employees or candidates by selecting them in the Employees field, instead of letting them select the time slot themselves. You can also allow more employees or candidates to select the same time slot by adjusting the number in people field to the right of the Employees field.

    Below the Employees field you will see initials of the people you selected as participants. If one or more would like to not be notified about the time slot, click the relevant initials and they will be excluded and marked with x.

  7. Optionally, enable a reminder for the event.

  8. Finish the creation of the event by clicking Continue.

  9. To send out the invitation to the event, fill in the form.

    Check the boxes at the top of the page if both employee/candidate and the participants should be notified.

    Important

    A page with the available time slots will be created. Please ensure to include a link to this page if the employees or candidates need to see it.

    Write a subject and text for the message. Optionally, enable a text message (SMS) for the employees or candidates.

  10. Finish by clicking Schedule.

The event is created and the invite is sent.

Tip

To check on the status of the event and see for example who has accepted, you can do so by visiting the event in the Emply calendar.
