Learn about content permissions

Learn about all the permissions available in the Content tab and determine which content the role has access to.

  1. Go to Settings in the main menu and click on Account.

  2. Go to the Roles tab and select the relevant role.

  3. Go to the Content tab which contains: Forms, Feedbacks, Job profiles, Absence groups, Payroll groups, Onboarding areas, Onboarding pipelines, Onboarding processes, Job templates, Talent pool templates, Job ads, Messages, Export, Goals, Media, and Benefit groups.

    Note

    Do not forget to also grant access to the correct roles on the form: feedback, onboarding area, onboarding pipeline, etc.

  4. Use the Clear search button to clear the search field alongside the four icons on the right side of the screen allowing you to customize the access:

  • Building icon: Enable this role to access all information on forms, feedback, onboarding pipelines, etc.

  • Gear icon: Customize the ability for this role to access all information on forms, feedback, onboarding pipelines, etc. to match a specific criterion.

  • Person icon: Users with this role will only be able to access the information on forms, feedback, onboarding pipelines, etc. on their own profiles.

  • Trash icon: Deny this role the ability to access all information on forms, feedback, onboarding pipelines, etc.

  • Find the Default permissions button and if some default permissions have already been set up for that specific content, it will become a Custom permissions button.

  • Here, you will also see 4 different options in the Create and Edit tab:

    • Lock icon: To make the element mandatory to fill out.

    • Unlocked icon: To make the element optional to fill out.

    • Eye icon: Make the element read only. A user with this role cannot edit an element that is read only.

    • Eye with strike icon: To hide the element altogether.

  • In the Read only tab, you will be able to determine for each element if it should be read-only or if it should be hidden for users with this role.

Note

Remember to save your changes before switching between the Create and edit tab and the Read only tab. All changes that were not saved and will be set back to their previous setting.
