In this article, you can learn about all the permissions available in the "Content" tab.
In the "Content" tab, when creating or editing a role, you can determine which content the role has access to.
Roles: Content tab
1. Go to "Settings" in the main menu and click on "Account"
1.1. Go to the "Roles" tab and select the relevant role
2. Go to the "Content" tab
As you can see in the image above, there are different areas covered in this section:
- Forms
- Feedbacks
- Job profiles
- Absence groups
- Payroll groups
- Onboarding areas Onboarding pipelines
- Onboarding processes
- Job templates
- Talent pool templates
- Job ads
- Messages
- Export
- Goals
- Media
- Benefit groups
NOTE: Do not forget to also grant access to the correct roles on the form; feedback, onboarding area, onboarding pipeline, etc.
Example: For onboarding, the access would be granted here:
You can use the search bar at the top, to find specific content within the above-mentioned areas.
The results will show at the bottom.
Use the "Clear search" button to clear the search field.
3. Per section, you will see that there are 4 icons on the right side of the screen allowing you to customize the access:
- "All" (green):
By clicking on this icon, you can enable this role to access all information on forms, feedback, onboarding pipelines, etc.
- "Custom" (blue):
By clicking on this icon, you can customize the ability for this role to access all information on forms, feedback, onboarding pipelines, etc. to match a specific criterion.
Example 1: If only an employee’s manager should be able to access e.g form or feedback, you can enter the criterion “Predefined user” “equals” “Manager”.
Example 2: If you only want people within the same department to be able to access e.g form or feedback, you can enter the element “Department” “equals” “Department access”.
- "Own" (yellow):
By clicking on this icon, users with this role will only be able to access the information on forms, feedback, onboarding pipelines, etc. on their own profiles.
- "Delete" (red):
By clicking on this icon, you will altogether deny this role the ability to access all information on forms, feedback, onboarding pipelines, etc.
For forms, feedbacks and templates, you can find the "Default permissions" button, next to the "All", "Custom", "Own" and "Delete" buttons.
If some default permissions have already been set up for that specific content, the button will become a "Custom Permissions" button:
By clicking on the "Custom permissions" button above, you can define permissions per element included in the form, feedback or template.
Here, you will also see 4 different options in the Create and Edit tab:
- "Mandatory" (orange): To make the element mandatory to fill out.
- "Optional" (blue): To make the element optional to fill out.
- "Read only" (grey): Make the element read only. A user with this role cannot edit an element that is read only.
- "Hide" (red): To hide the element altogether.
In the "Read only" tab, you will be able to determine for each element if it should be read-only or if it should be hidden for users with this role.
NOTE: Remember to save your changes before switching between the "Create and edit" tab and the "Read only" tab. All changes that were not saved, will be set back to their previous setting.
