In this article, you can learn about all the permissions available in the "Views" tab.
In the tab "Views", you will be able to define which views a user with this role has in the Employees, Onboarding or Recruitment modules. You will be able to switch between those modules using the bar at the top.
NOTE: Please be aware that in order to customize the view for Employees, Onboarding and Recruitment, this role needs to have access to those 3 modules.
This access can be granted in the tab Functionality > Employees/ Onboading/ Recruitment.

Employees
In this tab, you can customize what will be visible on full employee profiles, simple employee profiles and the organization overview in the HR Management module (HR Basic).
1. Full employee profile
Access to the full employee profile, can be determined in the Functionality tab > Employees > Organization > Full employee profile.
- If this is set to "All", "Custom" or "Own", you can customize the full employee profile view in the "Views" tab > "Employees".
- If this is set to "Hide", you will not be able to customize the full employee profile view in the "Views" tab > "Employees".
You will only be able to customize the simple employee view (see also 1.3.1.2 Simple employee).
When this role is allowed to see the full employee profile, you can customize this view in different areas.
First, you can customize the info shown at the top of the employee profile (see 1 on the screenshot above).
In this field, you can select different types of information from the dropdown list, such as home address, email address, phone number, etc.
Based on what accesses have been granted in the "Functionality" tab, you can also customize views for "Documents", "Skills", "Feedback", "Messages", "Activity" and any other tab you have manually added (see 2 on the screenshot above).
For these areas, you can customize the view based on the 5 icons you will see on the right side of the screen (see 3 on the screenshot above):

All (green):
By clicking on this icon, you can enable this role to get full access to the specific sections or elements on the employee profile.

Custom (blue):
By clicking on this icon, you can customize the ability for this role to see the specific sections or elements on the employee profile to match a specific criterion.
Example 1: If only an employee’s manager should be able to see the sections or elements, you can enter the criterion “Predefined user” “equals” “Manager”.
Example 2: If you only want people within the same department to be able to see the sections or elements, you can enter the element “Department” “equals” “Department access”.

Own (yellow):
By clicking on this icon, users with this role will only be able to see these sections or elements for their own employee profile.

Hide (red):
By clicking on this icon, you will altogether deny this role the ability to see the specific sections or elements on the employee profile.

Manage widget (blue):
This icon only becomes active when you have created a tab.

At the bottom of the full employee profile section, you will see 2 more buttons (see 4 on the screenshot above):

New tab button:
This button will allow you to create a new tab on the employee profile. Enter a title for the tab and click Save.
NOTE: if your Emply account is available in multiple languages, you must enter a title for all the languages you have available.

Manage widgets button:
This allows you to manage the widgets within a tab.
When you have created a tab, you will see that the Manage Widget icon on the right also becomes available.
When you click on either one of those buttons, you will be able to define what information should be available in the tabs you have created.
Click on the + icon to add a widget. You can see which widgets are available on the screenshot below:
Once you have chosen a widget, you can move the widget around and edit it by clicking on the following icons:
You can also modify the access specifically per widget by clicking one of these icons:

All (green):
By clicking on this icon, you can enable this role to get full access to the specific sections or elements on the employee profile.

Custom (blue):
By clicking on this icon, you can customize the ability for this role to see the specific sections or elements on the employee profile to match a specific criterion. From the dropdown list, select the criterion of your choice, then select a symbol and a value that should match the criterion.
Example 1: If only an employee’s manager should be able to see the sections or elements, you can enter the criterion “Predefined user” “equals” “Manager”.
Example 2: If you only want people within the same department to be able to see the sections or elements, you can enter the element “Department” “equals” “Department access”.

Own (yellow):
By clicking on this icon, you will limit the ability to see the specific sections or elements on the employee profile to the role’s own account only. In other words, users with a role where this has been activated for a specific element, will only be able to see this content for their own employee profile.

All (green):

2. Simple employee profile
Access to the simple employee profile, can be determined in the Functionality tab > Employees > Organization > Full employee profile.
- If this is set to All, Custom or Own, you can customize the full employee profile view and the simple employee profile for those who do not have access to the full one.
- If this is set to Hide, you will only be able to customize the simple employee view.
In this overview, you can customize several areas.
First, you can define whether this role should be able to schedule a meeting and create a task from the simple employee profile (see 1 on the screenshot above).
NOTE: For this to work, the role should also have access to the creation of meetings and tasks. These permissions can be found in Functionality > Employees > Calendar and/or Functionality > Employees > Tasks.
Moreover, you can add other information to the employee profile, such as job title, first name, last name, etc. (See 2 on the screenshot above).
For every piece of information that you add, you can customize the access using the 4 icons on the right side of the screen (see 3 on the screenshot above):

All (green):
By clicking on this icon, you can enable this role to get full access to this specific information on the simple employee profile.

Custom (blue):
By clicking on this icon, you can customize the ability for this role to see this specific information on the simple employee profile to match a specific criterion.
Example 1: If only an employee’s manager should be able to see the information, you can enter the criterion “Predefined user” “equals” “Manager”.
Example 2: If you only want people within the same department to be able to see the information, you can enter the element “Department” “equals” “Department access”.

By clicking on this icon, users with this role will only be able to see this information for their own simple employee profile.

Delete (red):
By clicking on this icon, you will altogether deny this role the ability to see this specific information on the simple employee profile.

3. Organisation view
Here, you can determine which overview you get in the Organization tab in the HR Management module (HR Basic).
The first thing you can customize, is the types of overviews in this tab (see 1 on the screenshot above). The views available are the hierarchy view, the cards view and the list view. You can toggle the button next to it to make it available or not.
Next to that, you will also be able to determine whether the Settings option (gear icon) should be available or not.
You can see the result in the Organization tab in the HR Management module (HR Basic):
Next, you can add information to the overview (see 3 on the screenshot above). Whatever you give this role access to see, will be the default view for any new user logging in. Afterwards, it will be possible to retrieve this default view from the Settings, as shown below:
And finally, you can choose how the employees in this default overview are sorted based on the information you have added previously (see 2 on the screenshot above). Choose the sorting criterion in the dropdown list and then select whether it should be sorted in ascending or descending order.
Onboarding
In this tab, you can customize what is visible on the onboarding profiles in the Onboarding module.
Access to the onboarding profiles, can be determined in the Functionality tab > Onboarding > Processes.
- If this is set to All, Custom or Own, you can customize the onboarding profile in the Views tab > Onboarding.
- If this is set to Hide, you will not be able to customize the onboarding profile in the Views tab > Onboarding.
When this role is allowed to see onboarding profiles, you can customize this view in different areas.
First, you can customize the info shown at the top of the profile (see 1 on the screenshot above). In this field, you can select different types of information from the dropdown list, such as home address, email address, first and last name, etc.
Based on what accesses have been granted in the Functionality tab, you can also customize views for Documents, Feedback, Messages, Activity and any other tab you have manually added (see 2 on the screenshot above).

This button will allow you to create a new tab on the onboarding profile. Enter a title for the tab and click Save.

When you click on either one of those buttons, you can define what information should be available in the tabs you have created. And by default, the onboarding pipeline progress widget is already available. You can turn off and move this widget, if necessary.

Once you have chosen a widget, you can move the widget around and edit it by clicking on the following icons:

Recruitment
In this menu, you can customize what will be visible on candidate profiles, the candidate overview, the job overview and the talent pool overview in the Recruitment module.
To see this menu, you need at least access to the permission found in Functionality > Recruitment > Jobs set to All, Custom or Own or in Functionality > Recruitment > Talent pools set to All, Custom or Own.
1. Candidate profile
Access to candidate profiles, can be determined in the Functionality tab > Recruitment > Jobs.
- If this is set to All, Custom or Own, you can customize candidate profiles in the Views tab > Recruitment.
- If this is set to Hide, you will not be able to customize candidate profiles in the Views tab > Recruitment.
When this role is allowed to view candidate profiles, you can customize this view in different areas.
First, you can customize the info shown at the top of the profile (see 1 on the screenshot above). In this field, you can select different kinds of information from the dropdown list, such as address, email address, phone number, etc.

2. Candidate overview
Access to the candidate overview, can be determined in the Functionality tab > Recruitment > Jobs.
- If this is set to All, Custom or Own, you can customize the candidate overview in the Views tab > Recruitment.
- If this is set to Hide, you will not be able to customize the candidate overview in the Views tab > Recruitment.
Here, you can determine which overview this role gets in the Candidates tab in the Recruitment module.
