Receive absence data in Lessor Payroll from Lessor Workforce

Newly created absence

Once a newly created absence has been sent to PEIP from Lessor Workforce, it will be received in Lessor Payroll (provided the necessary absence setup is in place in Lessor Payroll). The location of the absence record received by Lessor Payroll depends on the approval settings in Lessor Payroll. If absences are set to be approved automatically, they will be assigned to the employee as soon as they are received from PEIP.

If automatic approval of absences is not enabled in Lessor Payroll, the received absence will be placed in the Transfer Absence buffer, where you will find the same relevant information about the absence as you see in Lessor Workforce:

Change in absence

When a change to an existing absence is received in Lessor Payroll, it will be important to consider how “far along” the original absence is in relation to when the change is received. In this example, a sick leave entry will be changed from 4 to 3 hours.

There are three different situations:

  • The original 4-hour absence is still in the buffer, and a new entry for 3 hours is received. Both entries are visible in the buffer, and when you click “Transfer Absence Record to Employee,” only the entry with the change (the highest Load ID) will be transferred:

  • The original 4-hour absence has been transferred to the employee, but the pay has not yet been posted. A new line entry for 3 hours is received. Only the new line entry will appear in the buffer. When this is transferred to the employee, it will overwrite the original 4 hours that have already been transferred:

  • The original 4-hour absence has been transferred to the employee, but the payroll has now been posted. The new line with the change will appear in the buffer in the same way as in Example 2, and when transferred to the employee, a correction will be initiated for the payroll period that has already been posted.

Absence deleted

It is always recommended to delete the absence in Lessor Workforce, as the deletion will then automatically be reflected in Lessor Payroll.

When an absence that was sent to PEIP from Lessor Workforce is deleted in Lessor Workforce, the deletion will be received in the buffer in Lessor Payroll with the status = Deleted. Just as with a change, it will be displayed differently depending on how far the original absence has progressed in Lessor Payroll.

There are three different situations:

  • The original absence is still in the buffer, and a new line containing the deletion is received. Both lines are visible in the buffer, but the most recent line containing the deletion is marked as “Deleted.” When both lines are transferred to the employee, both lines will be deleted, and no absence will be transferred:

  • The original absence has been transferred to the employee, but the payroll has not yet been posted. A new line is received with the deletion. Only the new line will appear in the buffer with the status “Deleted,” and when it is transferred to the employee, it will delete the line that has already been transferred.

  • The original absence has been transferred to the employee, but the payroll has not yet been posted. A new line is created when the deletion is processed. Only the new line will appear in the buffer with the status “Deleted,” and when it is transferred to the employee, it will delete the line that was already transferred, and a payroll adjustment will be initiated.
