In this article you can read about how you create or edit templates for your Learning course certificates that can be obtained after completion of a course. These certificates can be used to document that specific employees are certified within i.e. GDPR regulations or just to keep your employees engaged.

1. Go to Settings > Learning > Certificates
2. Click "New certificate" to create or click on an existing template to edit this
3. Create certificate
3.1. Add the needed language versions of the certificate and give each template a title
3.2. Upload your word document
You build the template directly in word with the design that you wish to use. In this file you can use keywords, so this data is automatically filled when the certificate are obtained.
See a simple example of this under attachments in the bottom.
You will find the keywords by clicking "Keywords". From the overview, you can press the green plus at a given keyword, and the keyword will be copied to your clipboard, which you can paste into your word document.
3.3. Choose between the following settings if needed:
Save certificate as pdf: Enable this if the certificate should be exported as pdf instead of word.
Save certificate on the Certificate tab / In Profile: When enabling this, the certificate will be saved on the Certificate tab under Employees, for employee profiles. For onboarding profiles, the certificate will be saved under the profile's document tab.
Renew certificate every [] Months: Enable this, if the certificate should expire and therefore be renewed within specified interval.
4. Activate "Email upon completion" and "Send email with certificate attached"
Activate these settings if you want the participant or another relevant receiver to received an e-mail with or without the certificate attached after completion of the course
In the message you can use keywords, so this data is automatically filled when the message is send after completion of the course.
You will find the keywords by clicking "[ ]" button. From the overview, you can press the green plus at a given keyword, and the keyword will be inserted directly in the message section.
4.1. Click "Save" and your template is now ready to use
NB! Remember to add access on the certificate template so all relevant users can choose this certificate on the course settings.
With the correct access, you will find an overview of active certificates under Employees > Certificates:
You can use the filter option to search for specific certificates if you need to find unique competencies for a specific task.
You can furthermore filter by Effective date, Expiration date, Department and Employee to find even more suitable people having the certificate you are looking for.
