Best practice when using keywords

Learn about what keywords in Emply People and how to use them in the best way. Keywords in Emply People are text strings that are used in text fields automatically to fill out data and to include links to specific elements the readers should access. They can be used in message templates, onboarding flow, automation, approval flow, GDPR deletion message, messages, job ad templates, job ads, and exports.

Important

The format is always [emplyarea.element_name] when writing it in a message.

A keyword always is enclosed in square brackets and every part of it is separated by a dot. For element names that includes spaces, the space is replaced by an underscore ("_"). For option elements, there are two formats: list of options with bullets or options separated by comma's. In case of bullets, the segment ".list" should be used at the end of the keyword. In case of separation by comma's, nothing should be added.

Find keywords by clicking on the Keywords button to open where you can search for keywords and add them to your text by clicking the + icon.

Keywords can be used to automatically insert data from a specific area in Emply People into a text field. Simply use the keywords for the specific elements you would like to insert so they automatically populate with data.

  • The element has not been filled out

  • There is a duplicate of the form, course or feedback with the same name. This will make it impossible for the system to recognize from which form it should retrieve the data. The solution here, is to simply rename the old form so that the system can take the information from the correct one.

    Note

    Do not forget to check the archived forms when you are looking for the duplicate.

To link to a form, course, event or feedback look for keywords containing the word "link".

Important

The keyword will only work when you use it in a text field related to a form, course, or feedback. Otherwise, the system will not know which form, course, or feedback to link to and will simply show the keyword.

When forwarding a form, course, or feedback form, it is mandatory to include a link keyword to insert the link to the form, course, or feedback.

Keywords can also be used in export templates that you can set up in Settings+Integration+Export. If you choose the export type to be Document, you will be able to access the list of keywords. You can copy them to your clipboard and paste them in the export document you can upload.

  • Using keywords here, will result in these keywords populating with data as soon as you use the export template.

  • When you create a new form element and make it a shared one, this will automatically create a new keyword.

  • Making form elements shared, can be done in the Settings.

Keyword guidelines

  • When inserting links or data in a text field, make sure the text field is related to a form, event, course or feedback so that the system knows which link or data to include.

  • Make sure you choose unique names for forms.

    Important

    When duplicating forms, make sure to rename the old form.

    Check archived forms when you are looking for a duplicate.

  • Instead of referring to form data with form keywords, it can be useful to simply use an element keyword. This way, you can avoid issues caused by form names because the system will simply look for the element systemwide.

  • Do not forget to include a link keyword when forwarding a form, course or feedback form.

  • For payroll keywords, you need to have access to the payroll widget on each employee in order to access the data.

  • For course keywords, many of them will only work in the confirmation message as they all relate to one course, like [course.title]. In messages used when courses are being assigned, those keywords will not work, because you can assign multiple courses at once and the system would not know where to take the information from.

  • Keywords cannot be used in tasks (title, nor description).
