Emply has a simple, actionable Time Tracking report available for HR, Admin and People Manager roles.
The report visualizes any EU Working Time Directive violations so that you can reach out to your employees and take any necessary action to ensure they are working only the appropriate hours; and are taking sufficient breaks.
1. To give access to the Time Tracking report, please follow the steps as outlined in Get started with Time Tracking to arrive at the Time Tracking access area.
2. Once you have chosen the role that you would like to administer the Time Tracking report access for (we recommend that only HR, Admin and People Manager roles should see this report), you will be able to allow the role to either:
-
View all Time Tracking employee data (for Admin and HR roles)
-
View custom access e.g. only team members’ Time Tracking data (for People Manager roles)
-
Completely hide the report
For now the Time Tracking Compliance report has been placed in a different location to the rest of the reports. This will be moved in future but for now, follow the simple steps below to access this report.
Once you are logged in as an HR or Admin user, open the menu > go to 'Employees' > next go to 'Time & Registration:
You will now arrive at the new Time Tracking compliance report.
Upon the page loading, the report will be automatically filtered according to non-compliant employees so you can immediately see and action non-compliance.
The date range will be defaulted to the last 4 months.
You can toggle very easily of you would like to see the compliant employees as well as non-compliant; or if you would like to change the date range for the table:
You can also apply a range of filters to the report as you need:
In case you need to further analyse this data, you can export this report to a .xlsx file. Simply select "Export", and the report will be downloaded.
Selecting any of the employees will open a detailed view of Time Tracking for that employee. You will be able to access the employee profile directly from this modal, in order to contact the employee if needed.
According to the EU Working Time Directive of Denmark, employee Time Tracking data must be stored for 5 years - which we do as a default.
If you delete an employee, we will follow the specifications that you have chosen in the GDPR section, In for form master data, and in the choice of keeping / not keeping statistical data of your Emply account.
This means, that if you have chosen to fully delete all employee data, but later require the Time Tracking data for the deleted employee, the only identifier will be the employee ID / employee number in the Time Tracking compliance report:
We, at Emply, have aimed to equip our customers for the EU Working Time Directive by ensuring there is a reliable method to track time; as well as an actionable method to handle employee overworking.
Therefore, we have not yet evolved Time Tracking to accommodate employees who do not need to track time, and therefore these employees will appear as non-compliant in the report.
Good news is that we are investigating a way to allow HR / Admins to specify if employees do / do not need to track time and will release this as soon as possible.
