Who can see time registrations?
On Emply web, HR and Admin roles will be able to configure Time Tracking access for employees. Two types of access options will be available: View access and Manage access.

Will I be able to see a report of registered time? Yes! HR, Manager and Admin roles will be able to view a simple, yet actionable report showing your organization’s % compliance with the EU Working Hours Directive, together with which employees are overworking and not taking sufficient rest and breaks. Thus making it easy for you to take any required action.

Willthere bemore comprehensive reporting & analytics available in future versions?
Yes! We are planning additional granularity in the reports, as well compliance warnings in the future.

Will HR and managers receive notifications if employees are overworking?For the launch of the Time Registration report (Monday, 1 July 2024), there will only be visual indications of employees overworking and not taking sufficient rest and / or breaks. In future, we will build in automated notifications of your chosen regularity. We are looking to launch notifications later in 2024.

What if a break is not paid for?
Employees will be able to choose whether breaks are paid or unpaid. For the EU Working Hours Directive, it is most critical to ensure that breaks are taken (whether paid or unpaid).

What are weekly working hours based on? Are these taken from the employee's agreement or payroll group?
Upon launch, employees will set up their own work schedule in the Emply app. In subsequent future versions, their standard working hours will automatically populate in the Emply app with data from the “working hours” in the Employee Module. The employee will still have the option to amend these hours if needed.

We have entities in various European countries, can your time tracking solution support this?
Yes, if the country follows the EU Working Hours Directive and haven't implemented a more strict rule set. We have focused on the requirements from the EU directive which is same in all European countries. Further, we have in scope 1 included local requirements from Denmark and will focus on Germany next.

Registration of hourly employees' time: Is it possible for our hourly employees (warehouse and student assistants) to register hours (which are used as a basis for salary)?Time Tracking in the Emply app is primarily geared towards white collar, permanent employees as there is no connection to the payroll process.

Is it possible to track overtime hours with the time tracking solution?Yes and no! All employee working hours can be captured in Time Tracking in the Emply app, however we will not specifically support flex hours upon launch.

Is the system also able to handle time tracking for foreign colleagues with other public holidays?For the launch, public holidays will not automatically be populated in the app, and therefore employees need to ensure that no working hours are captured for those days. By mid Q3 2024, absences will be integrated, and then public holidays will be taken into consideration.

Is the time tracking module connected with the absence module? What do employees do if they are sick? Will they have to register their time in both the time tracking module and the absence module?
By Q3 2024, your employees will be able to view, capture and consolidate absences (holiday, sickness, training, etc.) together with working hours and breaks in the Emply app. Our streamlined and intuitive design will give employees a quick, visual overview of their entire work schedule in one place.
Until then, please continue to capture absences as you do today (in the app or on the web), and do ensure that there that no work or breaks are captured for that absence period.

Is the time tracking solution connected to the payroll processing?
No. Time Tracking in the Emply app is purely to ensure that employees are working the hours they need to and taking sufficient breaks and rest according to the EU Working Hours Directive. It is not intended to be used for invoicing or payroll processing purposes.

I am concerned that my employees can go back and amend already-captured time. Is there some approval process for this?
Please note that according to the EU Time Working directive, employees are entitled to go back in time and update past working hours & breaks.
Upon launch on Monday, 03 June 2024, you will be able to see all activity – including if your employees have updated any already-captured time
You can then contact the employee and take any necessary action.

Is Time Tracking data available via the API? Not yet. But we are working on adding this data. We will communicate as soon as we have an availability date.

Who can access the Time Tracking reports?
Time Tracking (or Time Registration) reports are accessible by HR, Admin and People Manager profiles.

Can I download the Time Tracking Reports?
Yes! You will be able to export the report into an .xlsx format so that you can filter and utilize the data as you need.

What about the Time Tracking data of deleted employees?
According to the EU Working Time Directive for Denmark, employee Time Tracking data must be stored for 5 years - which we do as a default. If you delete an employee, we will follow the specifications that you have chosen in the GDPR section, in the form master data, and in the choice of keeping / not keeping statistical data of your Emply account.
